USMS Launching a new CRM on April 1
Overview
We’re launching our new customer relationship management (CRM) through Salesforce to manage our member data starting April 1.
Why the Change: Salesforce offers several advantages over our current system, ESTHER, which hosts membership and club information, as well as financials and reporting.

Online Registration Scheduled Maintenance
On March 31 at 10 p.m. Eastern time, online registration will be closed until April 1 at 10 a.m. Eastern time. We will be using this time to update the registration process and launch Salesforce CRM.

ESTHER – Legacy custom-designed USMS system that currently hosts membership and club information and registration money, reporting, and other operational functions.

Salesforce – New CRM system that will become the database of record for membership, clubs, and financial transactions, among many other process enhancements.
How does the Salesforce launch impact ESTHER?
ESTHER will become read-only, which means membership coordinators can read all the same data in ESTHER, but will no longer be able to edit member and club data. ESTHER will also stop displaying registration money received as of April 1 (historical transactions will still be displayed). Information in ESTHER will continue to be updated, allowing membership coordinators and treasurers to see accurate information.

Which volunteers are affected?
The launch of Salesforce will primarily affect membership coordinators and treasurers.
Event sanctioning and results editing, approving, and uploading access will remain the same through the USMS admin tools in ESTHER. The next phase of our digital transformation will focus primarily on event sanctioning, improved sanction process integrated within Salesforce, which is when sanctions chairs will see more significant changes.
Does Salesforce affect my admin login?
As a volunteer who accesses ESTHER via usms.org/usmsadmin, you’ll continue to do so at that same admin address.
How will a membership coordinator process transfers?
Membership coordinators will be able to submit transfer requests through a new digital form within their My USMS account. Once submitted, the request will be sent to the National Office for review and changes should appear within 2 business days.

What if a member or club needs to update their information?
Members and clubs can make nearly all account updates through their My USMS account or the club admin dashboard. Membership coordinators can email any requested changes to membership@usmastersswimming.org.
How will a treasurer be able to review registration money?
Registration money received as of April 1 will no longer show in ESTHER (historical transactions will still be displayed). The National Office will continue to provide registration statements each month, detailing registration activity and LMSC disbursements.

How will paper registration forms be processed?
Please guide current and prospective members and clubs to register online whenever possible.
- The ability to process paper registrations will no longer be available in ESTHER. The plan is that going forward all paper registration forms are sent directly to the National Office, 8388 South Tamiami Trail, Suite 221, Sarasota, FL 34238, and made payable to U.S. Masters Swimming.
- In the case of an LMSC paying for officers and/or club registrations, please connect directly with Volunteer Services.
Can we still create reports in ESTHER?
Membership coordinators will still have access to create reports in ESTHER (i.e. member reports, club or workout group contacts, RE1 file for a meet director, etc.) The ability to create accounting reports inclusive of registration money received as of April 1 will no longer be available in ESTHER.
What if a member donates to our LMSC?
Members who donate to an LMSC as part of their registration will receive an automated thank-you email. Membership Coordinators will no longer need to print and mail LMSC donation letters. Registration money received will no longer show in ESTHER as of April 1 (historical transactions will still be displayed). The National Office will continue to provide registration statements each month, detailing registration activity and LMSC disbursements, inclusive of LMSC donations.

Can an LMSC still send emails through ESTHER?
Yes, LMSCs can still utilize ESTHER to send emails to members and club contacts.
Will this impact real-time integration (API calls)?
The transition to CRM will not impact the real time integrations (API calls) on partner registration platforms, such as Club Assistant, used to verify USMS membership information. Information in ESTHER will continue to be updated, allowing the APIs to call accurate information.

The implementation of Salesforce CRM is another part of our digital transformation, which is designed to update our systems, improve our internal processes, and enhance our users’ experiences.
